Welcome to the application form for the Better Youth Spaces Fund 

The Better Youth Spaces Fund (BYSF) aims to bring fast paced benefits to youth organisations and the young people they work with, by funding small scale-capital projects including capital equipment, small refurbishments and other capital projects, that can be delivered within a 1 to 4 month window (from the point of grant offer). 

The fund is managed by Social Investment Business.

You must submit one application per site i.e. per building being refurbished, or the building where any equipment/ vehicles will primarily be stored. If any refurbishment/ equipment/ vehicles will take place/ primarily be stored at different sites, you must submit one application per site. A single application form can include building refurbishment, equipment and vehicle costs provided they are all at the same site.  

Before you start the online Application Form, we strongly recommend: 

  1. You read all the information on the Webpage, including the Application Form Guidance and the list of Eligible and Ineligible Expenditure,  
  2. Collect together all the information you will be asked to upload to your application form (see below and the Application Form Guidance),  
  3. Plan out how you will answer the Planned Uses section of the application form (see the Application Form Guidance), and only then 
  4. Complete the online Application Form.   
This will make completing the form a lot quicker and easier. If you have done this and have all required information to hand and ready to upload, the form will take at least one hour to complete. If you don’t do this, it could take much longer. 

We will ask you to upload the following information to your application form: 

  • Quotes/ product listings to support your funding request and demonstrate value for money – all applicants. 
  • Your governing document - only required for Uniformed Organisations and Community Benefit Societies.  
  • Your most recent set of annual financial accounts - only required for Uniformed Organisations and Community Benefit Societies.  
  • Your Title Deeds or Lease Agreement - only required for refurbishment projects.  
  • All relevant permissions and consents for the work - only required for refurbishment projects.  
  • A photo of both the building/ land and space being refurbished - only required for refurbishment projects.

The max size of any file/ zip folder uploaded to the application form is 25MB. If you exceed this, you will get an error message when submitting the application form. Please check the file/ folder size before you upload it to the form. 

If you don’t include all of the requested information with your application, you include ineligible items of spend or what you are applying for doesn’t appear feasible within the fund timelines, your application (or part of it) might be rejected. Please check your application before submitting it.

Eligible Postcodes: In relation to refurbishment projects, the building/land being refurbished must be in a priority area. In relation to equipment/vehicle projects, the building/land where the equipment/ vehicle will be stored must be in a priority area.

  • Charity registered with the Charity Commission
  • Community Interest Company registered with Companies House
  • Not-for-profit Company Limited by Guarantee (with a social object, asset lock and restriction on profit distribution written into its governing document) registered with Companies House
  • Community Benefit Society registered with the Financial Services Authority
  • Uniformed organisation
  • Local Authority (providing youth services)
Youth Provision: Where the young people have special educational needs or disabilities, are leaving care, or considered ‘at risk’ or vulnerable, we may fund up to the age of 25 years. 

Cashflow: In some exceptional cases, where an organisation doesn’t have sufficient cash to cover the cost of the grant, tranche drawdowns may be agreed. This will be agreed on a case by case basis and will be split into a maximum of three tranches. The schedule will be agreed in advance, and the funds will be released in agreed stages upon receipt of a payment request and eligible evidence of spend. We require, at the point of application, a bank statement (no longer than one month old) demonstrating insufficient cash.

If you are applying for a refurbishment project, you must also meet the following requirements:  

For the building/land being refurbished, you must have freehold ownership or a suitable written lease agreement with a minimum of 2 years to expiry at the point of application. We will require a copy of the Title Deeds/ lease agreement with this application.  

Have all relevant permissions/ consents in place at the point of application. This must include (as applicable) planning consent, building regs, listed building consent, landlord consent, and other funder consent. We will require a copy of the permissions/ consents with this application.

If you are applying for refurbishment works, please group all refurbishment costs together in one ‘Planned Use’ and upload all quotes for the works to the Planned Use. Note: refurbishment works must not exceed £50k. 

If you are applying for a vehicle, please group all vehicle costs together in one ‘Planned Use’ and upload all quotes/ website listings for the vehicle to the Planned Use. 

If you are applying for equipment, please add a ‘Planned Use’ for item of equipment and upload the quotes/ website listings the item of equipment to the Planned Use. If you reach the limit of 15 Planned Uses, please group the equipment items together by category of items e.g. Sports equipment, Musical equipment, Creative equipment, IT equipment etc. upload a zip file with all quotes associated to each Planned Use. Note: individual items of equipment must be £2,000 or greater in value. 

Please make sure you: 

  1. Separate out refurbishment and equipment costs (as per the definition), even if they are included in the same quote. 
  2. Only include eligible expenditure (as per the detailed list of eligible/ ineligible expenditure). 
  3. Include the required number of quotes/ website listings for each item. 
  4. Upload all quotes/ website listings to each Planned Use as a single compressed zip folder. The file/ folder must not exceed 25MB.

The list of Planned Uses must equal the total amount of funding you have said you are applying for under What is the total amount of funding you are applying for? Note: The maximum you can apply for per site is £100k.   

Before you complete the Planned Uses section, we strongly recommend you read the Application Form Guidance, list out your Planned Uses, collect the required number of quote/s/ website listing/s for each item, and collate these together into compressed zip folders (max size 25MB) ready to upload to each Planned Use. This will save you a lot of time when you complete the form. 

Note on VAT: It is your responsibility to understand your organisations VAT position. You need to know your VAT status, how VAT applies to the items you are applying to us for, and what VAT you can/ can’t recover (if any). You cannot include any recoverable VAT in your BYS funding request (this is deemed to be ineligible expenditure) but you can include any irrecoverable VAT. It is up to you to make sure you include any irrecoverable VAT in your funding request, and you have enough funds to cover the cost of your project.
